Anti-Spam Policy: Protecting You And Your Subscribers

sendcube takes a serious stand against Unsolicited Commercial Email (UCE), better known as "SPAM", and we have a zero tolerance spam policy. All customers who want to use sendcube for their email marketing must be practicing permission-based email marketing (or opt-in email marketing), meaning that you must have permission from subscribers before you can send any email to them. Customers who breach this policy will have their account suspended or terminated, according to our Terms Of Use.

Acceptable Email Collection Methods:

  • Subscription form hosted on your website, which clearly states that visitors are subscribing to your mailing list.

  • Subscription form hosted on your partner's website, where it is clearly stated that the visitors are subscribing to your mailing list.

  • An opt-in checkbox on your online form, where it is clearly stated that visitors are signing up for your mailing list and the checkbox is unchecked by default.

  • Offline signup forms, where you clearly state that email addresses will be added to your mailing list; in this case, we recommend that you keep records of such subscriptions.

  • Collection of business cards through business meetings, trade shows or seminars – you must send these contacts a courtesy email before importing them into this system, inviting them to sign up for your newsletter through your online subscription form. This way, sendcube will have a record of their subscriptions. If you get them to confirm by replying to your email or signing an offline form, you must keep records of such subscriptions.

Unacceptable Email Collection Methods

  • Harvesting emails.

  • Renting or purchasing lists, even from organizations that claim their lists are all permission based.

  • Subscriptions that result from the subscription checkbox being automatically checked on any type of online form, even though you have clearly stated that it is a subscription to your campaigns.

  • Importing contacts from your email client's address book, unless you have proof to show that they have given you their permission.

  • Importing contacts from your Customer Relationship Manager, unless you have proof to show that they have given you their permission.

  • Lists from the Chamber of Commerce and Business Association, where you are a member, unless you have proof to show that they have given you their permission.

  • Adding contacts from enquiries received through offline and online mediums, where there is no indication that these contacts are interested to sign up for your newsletter.

  • Any other methods not listed under "Acceptable Email Collection Methods".

All emails that are sent for the purpose of requesting permission should be sent outside of this system, and permission received must be granted specifically to you and not to any third party. If you are in doubt, don't add the email address to your list. We encourage you to take your time to develop your email subscriber list. Start by signing up with sendcube and putting a subscription form on your website.

Required Information For All Campaigns Sent Out

sendcube requires that every email sent out includes the following:

  1. A valid "From Email and "Reply-to Email" address. Our system will require you to verify your email address before it can be used in any campaign.

  2. An unsubscribe link – sendcube is designed not to send a campaign if it does not have a valid unsubscribe link.

  3. Company name and address – sendcube requires you to declare that you have provided the necessary contact information before you can send out your campaign.

How We Handle Unsubscribe Requests

All campaigns sent out through the sendcube system will have an unsubscribe link, or they will not be delivered. This function is built within the system and checks are done automatically. Subscribers can unsubscribe from any campaign sent through sendcube by clicking on the unsubscribe link, and they will be immediately unsubscribed from the list, or all lists if they are subscribed to multiple lists managed by you. The subscriber will receive an email and confirmation through a web page, which will be loaded on the subscriber's browser confirming the unsubscribe request.

How Do We Enforce Our Anti-Spam Policy?

sendcube takes the following steps – although we are not limited to these steps – to enforce our policies:

  • All new accounts will be reviewed by our team, and their reputation checked.

  • We allow our customers to carry out batch importing, but only for permission-based email addresses. All batch importing will go through a manual approval process, where our delivery team will review your list before approving or rejecting it. We go further by putting the approved list under a “watch list” to monitor bounce and complaint rates. Customers are also required to declare that they have obtained the permission of the email owners before they can proceed with their batch imports.

  • We support the confirmed opt-in process only. This means a confirmation email will be sent requiring new subscribers who have signed up through your online subscription form to confirm their subscription before they are added to our customers’ lists.

  • We capture the IP addresses of all new subscribers for our records. If you manually add or batch import subscribers, your IP address will be captured instead. This will allow us to differentiate subscriber-initiated subscriptions from those added by you.

  • All campaigns that go through sendcube must have an unsubscribe link and the company's name and address. sendcube will automatically check for the unsubscribe link and will not allow any campaign to go through without it. We also require you to make a declaration that you have provided your company’s name and address, and that this information is valid, before you can proceed to send your campaign.

  • Our team reviews all campaigns sent by you to ensure compliance, and all campaigns are kept for 45 days – with a functioning unsubscribe link – before you can delete them.

Customers who are found to have sent unsolicited commercial email, received a high volume of complaints and bounces or have not followed the requirements under our "Required Information For All Campaigns Sent Out " will have their account either suspended or terminated. sendcube will conduct an investigation and will require cooperation from the customers involved. We will terminate the customer’s account if we do not get any response from the customer within a specified period. sendcube’s acceptable complaint and bounce rates are 0.15% and 10% respectively per sending; however, these percentages are to be used for indicative purposes only.

How We Handle Complaints

All complaints received will be immediately investigated by our team. Depending on the severity of the complaint, we will get in touch with you for further information or suspend your account temporarily until the completion of the investigation.

  • Spam Complaints

    • We will check your list for the email address of the subscriber who has lodged the complaint. If we can find the email address in your list, we will further check to see if the subscriber initiated the subscription, or if you added the subscriber on your own. At the same time, we will unsubscribe the subscriber from your list.

    • If the subscriber initiated the subscription, we will get in touch with the subscriber and inform him/her of the situation and provide him/her with proof of subscription.

    • If the subscriber was added by you, we may put your account on temporary suspension and request that you provide us with proof of permission received.

    • Upon hearing from you and confirming the permission, we will remove the suspension and get in touch with the subscriber to update him/her on the situation.

    • If you are unable to provide us with any proof of permission received, your account will be terminated.

  • Content-Related Complaints

    • We will review your campaign content and decide if the content is acceptable, and at the same time, unsubscribe the subscriber who lodged the complaint from your list.

    • Upon review, if we find your content to be acceptable, we will inform you of the complaint we received and advise you to be more careful with your content so as not to offend anyone. We will get in touch with the subscriber and update him/her on the situation.

    • If your content is found to be illegal, your account will be terminated immediately.

sendcube is aware that there can be false positive complaints . Whatever types of complaints we get, we will always conduct an investigation and will get in touch with you and the subscriber who lodged the complaint to settle the issue. On your part, you should always practice permission-based email marketing and only send your campaigns to the subscribers who have specifically given you their permission.
